SAVE YOUR SEMIANNUAL LOGS

As calendar year 2020 comes to an end, the state Office of Information Practices would like to remind all agencies that they should close out their fiscal year 2021 semiannual Log reports that are due to OIP by January 31, 2021.

All government agencies should close out the first half of the FY 2021 by saving a copy of their UIPA Record Request Log data for record requests received from July 1, 2020 through December 31, 2020.  Each department’s UIPA Coordinator should collect and provide to OIP a copy of each agency’s completed UIPA Record Request Log and Checklist for this semiannual period, which are due to OIP by January 31, 2021.

To save an electronic copy of their Semiannual Log, agencies should use the “save as” function and re-name it as their agency’s FY 2021 Semiannual Log.  Agencies should continue adding to their original Log for the rest of FY 2021.  After this fiscal year ends, annual data for the period from July 1, 2020 through June 30, 2021 will be collected.  Training on the UIPA Record Request Log can be found on the UIPA Record Request Log Training page at oip.hawaii.gov.

Additionally, even if the Governor’s emergency proclamations have suspended UIPA deadlines, OIP would like to remind agencies they must at least provide acknowledgements of record requests.  Rather than wait until the proclamations end and have all record requests come due at once, OIP encourages agencies to timely respond to them as they are received.
