START FY 2016 UIPA LOGS

As the fiscal year comes to an end, the State Office of Information Practices (OIP) would like to remind all state and county agencies that they should start new UIPA Record Request Logs for FY 2016, for record requests received from July 1, 2015 through June 30, 2016.  Record requests received through next Tuesday, June 30, 2015, should be reported on an agency’s FY 2015 Log, which can be kept open as a separate document for a little longer in order to finish recording completion, hourly, and cost data.

The year-end reports for the FY 2015 Logs are due by August 31, 2015.  Besides uploading each agency’s “TOTALS” (row 4) onto the UIPA Master Record Request Year-End Log for FY 2015 found at data.hawaii.gov, all agencies are asked to electronically submit copies of their Logs through their department’s UIPA Coordinator to OIP, so that OIP can check for any inconsistencies in the uploaded data against the agencies’ Log entries.  Instructions on how to upload data to the Master Log are found on OIP’s Record Request Log training page and additional questions may be directed to OIP by calling 586-1400 or e-mailing [email protected].

OIP has made minor revisions to the Logs, Instructions, and Frequently Asked Questions to reflect the addition of the Legislature and legislative agencies, who will begin using the Log effective July 1, 2015.  For FY 2016, all state and county agencies subject to the UIPA should be using the Log and providing semiannual reports to OIP.

OIP thanks the agencies who have been using the Log and providing insightful data about record requests made under the UIPA.  FY 2014’s year-end Log results have been summarized in a report posted on OIP’s Reports page.  The FY 2015 report will come out later this year, after agencies have provided their year-end data to OIP.
