The state Office of Information Practices (OIP) sends out this final reminder about the upcoming training on revisions to the UIPA Record Request Log and procedures, including the new Checklist that agencies must submit with their Logs in July. In-person training opportunities regarding the revised Log and procedures are scheduled from 10:30 a.m. to noon at the following locations:
June 2 (Thursday) State Capitol Auditorium in Honolulu
June 3 (Friday) Kauai Civil Defense Emergency Operations Center in Lihue
June 7 (Tuesday) Council Chambers in Hilo, with telecast to Kona
June 8 (Wednesday) Council Chambers in Kahului, with telecast to Lanai and Molokai
To provide consistent training to all state and county employees, whether or not they can attend the in-person sessions, OIP will be featuring a new power point presentation with voiceover that will also be posted on OIP’s website in June. The first half of the training covers the new Log form and procedures, and the second half summarizes the results obtained from agencies’ FY 2015 Logs so that government employees can see how the data they are collecting is providing useful and necessary information. About halfway through the live sessions, OIP will answer live questions about the Log from the audience. OIP attorneys will remain available to answer individual questions after the presentation as well.
Registration for state and county employees to attend the Honolulu seminar is online via https://www.surveymonkey.com/r/KKDFPJN. The neighbor island registration will be handled by the following persons:
Kauai: Sarah Blane, Mayor’s Office, 241-4900, firstname.lastname@example.org
Big Island: Martha Rodillas, Corporation Counsel’s Office, 961-8251, email@example.com
Maui: Moana Lutey or Angela, Corporation Counsel’s Office, 270-7741
Space is still available for state employees to attend the neighbor island sessions. State employees should email OIP if they wish to attend.
Employees who are unable to attend the live sessions can study the same power point and other materials that will be posted on OIP’s training page in June, including the FY 2017 Log, new Sample Logs preformatted to be printed on either 11- or 14-inch long paper (preferably in color), new Checklist form, written Instructions, Frequently Asked Questions, Tip Sheet, and a flow chart. Note that a full transcript of the audio recording can be found on the “Notes” page of the power point presentation.
